Haddenham Social and Sports Club Evacuation Policy

1. Purpose

The purpose of this Evacuation Policy is to ensure the safety of all members, guests, and staff in the event of an emergency that requires the evacuation of the Social Club premises. This policy outlines the procedures to be followed during an evacuation to ensure that everyone leaves the building quickly, safely, and efficiently.

2. Scope

This policy applies to all members, guests, staff, and contractors present within the Social Club premises at any time.

3. Types of Emergencies

The following are examples of emergencies that may require evacuation:

  • Fire or smoke
  • Gas leak
  • Bomb threat
  • Structural damage
  • Flooding
  • Any other situation deemed by the management as a threat to safety

4. Evacuation Procedures

  • Immediate Action:
    • Upon discovering an emergency or hearing the fire alarm, all occupants must immediately stop what they are doing and proceed to the nearest exit in a calm and orderly manner.
    • Do not stop to collect personal belongings.
    • Close doors behind you as you exit, if possible, to help contain any potential fire or hazard.
    • Do not use elevators during an evacuation.
  • Assembly Point:
    • All occupants must proceed to the designated assembly point, which is located at [Designated Assembly Point, e.g., the parking lot across the street, the club’s main entrance, etc.].
    • The assembly point must be a safe distance away from the building and away from emergency vehicle access routes.
  • Evacuation Leaders:
    • Staff members or designated evacuation leaders will assist in directing people to the exits and ensuring that all areas are evacuated.
    • Designated evacuation leaders should check restrooms, back rooms, and other less frequented areas to ensure no one is left behind.
    • Evacuation leaders should ensure that individuals with disabilities or mobility issues are assisted in evacuating the building.
  • Head Count:
    • Once at the assembly point, a head count will be conducted by the senior staff member present or an assigned evacuation leader.
    • All members, guests, and staff should report to the person conducting the head count to confirm their safety.
    • Any missing persons should be reported immediately to the emergency services personnel on-site.
  • Re-Entry:
    • No one is allowed to re-enter the building until the all-clear is given by the emergency services or the senior staff member on duty.
    • Once the building is deemed safe, an announcement will be made allowing people to return to the premises.

5. Roles and Responsibilities

  • Management:
    • Ensure all staff are trained on the evacuation procedures and understand their roles.
    • Conduct regular evacuation drills to ensure preparedness.
    • Review and update the evacuation plan regularly and after any incident.
  • Staff:
    • Familiarize themselves with the evacuation routes, emergency exits, and assembly points.
    • Assist in the evacuation process and ensure that all guests are guided to safety.
    • Follow the instructions of evacuation leaders and emergency services personnel.
  • Members and Guests:
    • Follow all instructions given by staff or evacuation leaders during an emergency.
    • Proceed to the nearest exit calmly and avoid causing panic or congestion.

6. Special Considerations

  • Disabled or Mobility-Impaired Individuals:
    • Evacuation plans must include procedures for assisting individuals with disabilities or those with mobility impairments.
    • Designated staff members should be trained on how to assist these individuals safely during an evacuation.
  • Children and Vulnerable Individuals:
    • Ensure that children and vulnerable individuals are accounted for and evacuated with appropriate supervision.
    • Parents or guardians are responsible for the safe evacuation of their children, with the assistance of staff if needed.

7. Communication

  • Alarms:
    • The club’s fire alarm system is the primary alert mechanism for evacuation.
    • In the event of a non-fire emergency, staff will be responsible for communicating the need to evacuate.
  • Announcements:
    • Clear and concise announcements will be made over the club’s public address system, if available, to guide people through the evacuation process.

8. Training and Drills

  • Regular evacuation drills will be conducted to ensure all staff and regular members are familiar with the evacuation procedures.
  • Staff will receive training on their specific roles during an evacuation, including how to assist guests and ensure that all areas of the club are cleared.

9. Review and Updates

  • This Evacuation Policy will be reviewed annually or following an emergency evacuation to ensure its effectiveness.
  • Any changes to the layout of the club, such as renovations or changes in use, will prompt an immediate review and update of the evacuation procedures.
